Help the receptionist route the call

These original scripts state the commercial purpose of the call. Ask for a role, team, or published contact channel. Do not imply that the call is personal or urgent. These scripts are not legal advice.

Ask for the responsible role

You know the business task but not its owner.

Hello, I am [your name] from [company]. This is a sales inquiry about [specific task]. Could you tell me which team manages that, or direct me to a public team email address?

Next step: Accept the contact method they offer. Do not claim to have an appointment.

Find the sales operations contact

You sell a service for an outbound sales process.

Hi, this is [your name] at [company]. I am calling about a service for [specific sales task]. Who handles sales operations, and is there a preferred way to send a short business inquiry?

Next step: Use the preferred channel. Keep the description specific enough to route accurately.

Route a manufacturing inquiry

Your offer relates to a factory or operating process.

Hello, [your name] from [company]. We provide [plain service description]. I have a sales question about [process]. Does operations or purchasing handle that, and how should I contact the team?

Next step: Do not ask to interrupt production staff. Follow the business's supplier inquiry process.

Separate a service offer from a job inquiry

Your service supports a recruiting team.

Hi, I am [your name] from [company]. This is a sales inquiry about [recruiting service], rather than an application for a role. Could you direct me to the person who reviews services for the recruiting team?

Next step: State the commercial purpose. Do not pose as a candidate to obtain a transfer.

Explain what the call concerns

The receptionist asks why you are calling.

It is a sales call about [specific service]. We help with [plain task]. I do not know whether it is relevant to your team, so I am looking for the right person to ask. A team email address is fine if that is preferred.

Next step: Answer the question directly. Do not describe a sales pitch as a personal or urgent matter.

Accept a declined transfer

The receptionist cannot or will not transfer the call.

Understood. Is there a published address for business inquiries, or would you prefer that I leave it here? Thank you for your help.

Next step: Accept the answer. Record any request to stop sales contact through your team's suppression process.

Use a short routing brief

  • Your name and company.
  • The specific task or service that the sales inquiry concerns.
  • The team or role you need. Say if you do not know the owner.
  • A business email or published inquiry channel that the receptionist can share.

Frequently asked questions

What is a gatekeeper script?

It is a short way to explain your business inquiry to a receptionist or another person who routes calls. State who you are, the commercial purpose, and the task or team you need.

Should I pretend to know the person I want to reach?

No. Do not claim an appointment, prior conversation, or personal relationship unless it exists. Clear information helps the receptionist route the inquiry.

What if the receptionist declines a transfer?

Accept the answer. Ask once whether there is a published business inquiry address or whether they prefer no further contact. Do not pressure them to share a personal number.

Are the filters and copy buttons free?

Yes. Every example is visible without an account. Choose an industry or role, copy a relevant script, and replace the bracketed details.
